Administrative Assistant/Receptionist
Program Context
Chemonics International, Inc., a U.S.-based international development consulting firm, is seeking qualified candidates for multiple technical and crosscutting positions for the five -year USAID Harvest Activity. The Activity aims to enable supported male and female grain and oilseed farmers, including those from marginalized and underserved groups, to return production and income for target commodities to at least pre-war levels while improving production efficiency and profitability and will position farmers to market their crops more successfully and profitably in the war-affected context. The Activity will focus specifically on the following target commodities: barley, corn, soybean, sunflower, and wheat.
Position Description:
The Administrative Assistant is to be responsible for a wide range of administrative responsibilities for the Activity. The Administrative Assistant works directly with all staff members and is responsible for project administration and office reception duties.
Responsibilities:
The Administrative Assistant is responsible for the following principal duties:
- Provide administrative and operational support, guaranteeing quality, efficiency and effectiveness for the project activities.
- Prepare and mail packages and pouch/mail packages as needed.
- Maintain administrative systems, including but not limited to communication logs, filing systems, and trackers.
- Prints, copiess and files project correspondence and documents.
- Serves as contact with visitors and staff, for the arrangement of appointments and meetings.
- Reviews and distributes incoming pouches and maintaining the pouch logs.
- Greets and welcomes visitors and guests to the project office and provides them with water and coffee as needed. Support to organization of administrative procurement processes.
- Serves as custodian for management of office stationery supplies, kitchen supplies, lavatory supplies, including maintenance of stock list of stationery, distribution of stationery as required by staff and keeping a log of distribution.
- Maintains files and records relevant to office maintenance and administration.
- Provides support to maintenance of premises and common services.
- Provides logistical support for workshops and other meetings;
- Assists in the preparation of purchase orders and other required forms for payments.
- Provides administrative support to organization of conferences, workshops, retreats.
- Prepares project information materials and maintains copies of materials ready for distribution to interested parties.
- Supports the Chief of Party (and Activity leadership if applicable) in managing schedules, Outlook calendars, booking vehicles for meetings.
- Perform other appropriate tasks as requested.
Qualifications:
- Minimum one (1) year of assistant experience, preferably with USAID- or other donor-funded projects in a similar position in terms of the job tasks and responsibilities outlined above;
- Secondary education or incomplete higher education in accounting, finance, economics or other relevant fields; or high school diploma with additional 2 years of relevant work experience;
- Proven ability to work professionally, constructively and collaboratively as part of a team, meet deadlines, communicate effectively, and deal with diverse partners in a challenging environment;
- Strong attention to details;
- Strong organizational, multi-tasking, administrative, inter-personal and customer-service skills;
- Ability to work both independently and in a team, to manage and coordinate the work of others in an effective and efficient manner;
- Versatility, integrity, and positive attitude;
- Native speaker of Ukrainian;
- English level sufficient for professional purposes;
- Experienced user of MS Office 365 applications including Microsoft Word and Excel;
- Demonstrated success working in a multinational, multilingual team, working under pressure and tight deadlines. Previous international donor experience preferred.
