Assistant (intern)
Background
The Agriculture and Rural Development Support Project, hereafter ARDS project, is implemented through a four-year, cost-plus-fixed-fee completion type task order funded by the United States Agency for International Development (USAID). ARDS builds on USAID’s previous projects in Ukraine and lessons learned by USAID/Ukraine, Ukrainian partners, and other donors. ARDS is implemented by Chemonics International, Inc. and began on September 7, 2016.
The project exists to help create a better governed agriculture sector that provides attractive livelihoods in rural areas of Ukraine. The two areas of focus for ARDS are the enabling environment and market development, with a focus on selected rural areas. The project works both at the national and oblast level, with a special focus on rural development in southern and eastern Ukraine. Across all tasks of the contract, ARDS works with government institutions, private sector entities, and other partners in planning, monitoring, and mapping outcomes, and thereafter scaling up what works and/or adapting by redesigning strategies and tactics employed to implement tasks.
Purpose of Assignment
The Assistant is responsible for a wide range of administrative and reporting responsibilities for the ARDS project. The Assistant works directly with all staff members and is responsible for project administration and office reception duties in a professional manner.
At all times, the Assistant shall adhere to and act according to Chemonics’ Professional Code of Ethics Living Our Values as well as comply with USAID regulations and Chemonics’ policies.
Expected LOE: 50-75% (4-6 hrs per day).
Term of assignment: through July 2020, subject to review and satisfactory performance.
Responsibilities
- Greeting / welcoming visitors and guests to the project office and providing them with food or drink if appropriate.
- Answering phone calls or messages; sending emails; preparing and mailing packages and pouch/mail packages periodically to the Washington, D.C. office.
- Maintain administrative and filing systems. Copying and properly filing all project correspondence and documents.
- Reviewing and distributing incoming pouches and maintaining the pouch logs.
- Follow up with project stakeholders as required, prepare project correspondence, file all relevant hard- and e-copy correspondence, and facilitate communication between the ARDS project office and Chemonics’ home office.
- Assisting in arranging staff travel and hotel accommodations in a timely manner; informing travelers of arrangements; providing them train/airline tickets in a timely manner.
- Coordinating of invoices from vendors and service providers.
- Preparing materials and supporting logistics coordination for project events.
- Coordinating travel arrangements, passport, visa and photo requirements, hotel reservations, medical exams, and inoculations. Handling orientation logistics, producing agendas and materials, making meeting room reservations and catered arrangements. Preparing orientation packets and materials with finance and administration director; briefing staff.
- Carrying out periodic project-related research as requested.
- Participating in routine project discussions on project status and work plans.
- Assisting in preparation of procurement forms for personnel and procuring project related items, office supplies and materials for seminars and workshops ) and for the day-to-day running of the office (paper, toner, stationary, cleaning substances, toiletries etc.).
- Support technical team members in the organization of meetings, travel, and events as required.
- Assist in maintaining an accurate inventory of all project equipment, showing location, user, owner, and condition.
- As requested, writing, drafting, copying, translating, and distributing correspondence, proposals, reports, contracts, subcontracts and other project documents.
- Travel as requested.
- Performing any other tasks assigned by the chief of party or finance and administration director or their designee, consistent with the person’s qualifications, this scope of work, and the general requirements of the ARDS project.
Qualifications
- School / college graduates.
- Ability to write and verbally communicate clearly and concisely in English.
- Fluent spoken and written Ukrainian.
- Attention to details.
- Advanced skills in using word processing, spreadsheet, and electronic communication programs.
- Strong organizational, multi-tasking, administrative, inter-personal and customer-service skills.
- Ability to work both independently and in a team, to manage and coordinate the work of others in an effective and efficient manner.
- Versatility, integrity, and a positive attitude.
- Ability to travel when needed.
- Previous international donor experience preferred.
