Open to Internal and External Candidates

Position Title: Project Assistant (NFI)
Duty Station: Kyiv, Ukraine
Classification: General Service Staff, Grade G5
Type of Appointment: Special Short-Term, Nine months with the possibility of extension
Estimated Start Date: As soon as possible

IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants.

 Core Functions / Responsibilities:

  1. Under supervision of Project Officer (Non-Food Item), supports the overall IOM NFI direct implementation in North and Central Regions of Ukraine (Kyiv, Zhytomyr, Chernihiv, Cherkasy and Sumy regions).
  2. Assists in planning and implementation of NFI responses in the field locations, including assessment, verification, registration, and distribution, and post distribution monitoring as required.
  3. Assists Project Officer (Non-Food Item) in coordination with local authorities, partners, and other stakeholders on NFI needs and response plan in the Eastern Region, adapting the most appropriate distribution modality at the assigned distribution point.
  4. Identifies gaps in NFI partnerships on the ground (especially high risk/returnee areas) and reach out to new partners to establish working relationships on the ground.
  5. Processes all NFI requests from authorities and/or partners, conducts proper needs assessments and verification as per IOM NFI guidelines. Maintains and updates the distribution database and share updates to NFI reporting team.
  6. Prepares regular weekly update reports on NFI activities in the coverage areas, including achievements, challenges, and recommendations.
  7. Coordinates closely with NFI Supplies Management focal point and Supply Chain Unit on NFI transportation and stock management for Eastern Region responses.
  8. Under guidance of Project Officer (Non-Food Item), assist with post-distribution monitoring activities, including planning and participation in the field locations.
  9. Under guidance of Common Pipeline Officer (NFI), assist with the process of distribution through common pipeline modality.
  10. Assists Project Officer (Non-Food Item) in providing training/workshops (planning, logistical arrangements, moderating) to partners as required.
  11. Represents NFI Unit in all Sub-National Cluster meetings in all Northern and Central Regions, and provides meeting updates to IOM NFI.
  12. Follow-up NFI partners’ response activities, including assessment, distribution, monitoring and reporting
  13. Perform such other duties as may be assigned.

Required Qualifications and Experience

Education

  • Bachelor’s degree or equivalent from an accredited academic institution in Social Sciences or any other relevant field with at least three years of professional work experience.
  • High School diploma or certificate with five years of professional work experience.

Experience

  • Experience working in post-conflict/emergency zones and in high-risk environment.
  • Experience in humanitarian response or related field (operational field experience a must / emergency experience preferred).
  • Experience in Non-Food Items and Common Pipeline programming in emergency humanitarian response is an advantage.
  • Experience in emergency, project implementation and management including project monitoring, distribution, field assessment, monitoring and reporting.
  • Excellent communication skills, ability to coordinate and corresponds in a clear and concise manner;
  • Ability to complete tasks in a timely and accurate manner;
  • Ability to work effectively and harmoniously in a team of colleagues of varied cultural and professional backgrounds;
  • Good level of computer literacy, including EXCEL, MS WORD, MS TEAMS, OUTLOOK etc.
  • Required high attention to details.

Languages

English and Ukrainian is required.

A prerequisite for taking up the position is legal residency in the country of the duty station and work permit, as applicable.
