Position Title: Project Assistant
Duty Station: Kyiv, Ukraine
Classification: General Service Staff, Grade G4
Type of Appointment: Special short term, Six months with possibility of extension

Context:
Under the overall supervision of the Chief of Mission (CoM) and the National Programme Officer, and the direct supervision of the Project Manager, the Project Assitant will be responsible for assisting in the implementation of the European Union-funded “EU Support to Strengthening IBM in Ukraine” (EU for Solidarity Lanes and IBM).
Core Functions / Responsibilities:
- Assist in the overall implementation of the EU-funded project “EU Support to Strengthening IBM in Ukraine” (EU for Solidarity Lanes and IBM)” with a special focus on supporting the work process of Project Specialists on legal and governance issues, including by ensuring search and initial analysis of necessary information.
- Support the organization of all events under the project (e.g. projects’ Steering Committee meetings, Project Management Board meetings with state partners, workshops, etc.) and perform note-taking tasks at meetings.
- Support the project team in regular reporting (event reports, progress reports).
- Draft official and unofficial correspondence in English and Ukrainian.
- Maintain work-level contacts with state partners as well as external experts.
- Provide informal interpretation and written translation (English/Ukrainian) when necessary.
- Prepare financial and administrative documents for the activities under the project.
- Keep project folders, hard copies and electronic documents in order.
- Provide support to project visibility as necessary.
- Perform duty travel around Ukraine as required.
- Perform such other duties as may be assigned.
Required Qualifications and Experience
Education
- High school degree with at least 4 years of professional work experience
OR
- Bachelor’s Degree or equivalent (preferably in public administration, law, political science, or international relations) with at least 2 years of professional work experience.
Experience
- Experience in working with Ukrainian government and/or international organizations.
- Confident user of Microsoft Office Suite.
- Experience with performing organization and administrative tasks (e.g. organization of conferences, drafting minutes and reports, preparing agendas, liaising with service providers, following up payments, handling daily administration documents).
- Experience in doing official correspondence.
- Experience with visibility and communication is a strong asset.
- Experience with data analysis and statistics is an advantage.
- Experience in IT and/or procurement is an advantage.
- Proven reporting and writing skills, a confident user of the Microsoft Office Suite.
- Proven planning and organizing skills.
- Good negotiation and communication skills.
- Skills to continuously learn and contribute to colleagues’ learning.
Languages
Fluency in English, Ukrainian is required; Russian is desirable.
