Chemonics International Inc., an international development consulting firm, seeks a Grants Assistant for an ongoing USAID-funded project supporting Ukraine. This is a remote work position likely to be based in either Ukraine or Poland.   

Responsibilities for this position include: 

  • The Grants Assistant will coordinate with other members of the grants management unit at all stages of the grant activity cycle (concept identification, development, activity implementation, and close-out). 
  • Assist the grants management unit to develop new grant concepts, draft concept notes, and contribute to the writing of grant activities. 
  • Take a leading role for the grants management unit in updating the online database to track and report on grant activities at each phase in the activity cycle. 
  • Assist the grants management unit to monitor activities and collect information against activity monitoring and evaluation plans.  
  • Evaluate grants progress, and coordinate with grantees and other project staff to ensure that M&E data and final reports (FMRs) are drafted and finalized. 
  • Travel as required to program site visits, to inspect equipment at grantee sites and report on grant progress. 
  • Label and maintain complete electronic and hard copy files; ensure activity file checklists are populated. 
  • Prepare, register, enter into tracker and submit Purchase Action Requests for review to the procurement manager throughout the activity with relevant documentation as it becomes available; assist the grants manager, program development officer, and procurement manager to ensure the completion and accuracy of files in preparation for activity closeout. 
  • Make hotel and transport reservations for consultants engaged as short-term technical advisors  
  • Liaise with grantees and vendors to collect payment, procurement, inspection, and registration related documentation as necessary.
  • Analyze the rapidly changing political and humanitarian situation and contribute to weekly, semi-annual, annual, and ad hoc program reporting as requested.
  • Schedule grantee meetings, bidders’ conferences, etc. at the request of the program development officer, grants manager, and procurement manager.
  • The Grants Assistant may be assigned ad hoc special tasks and duties as required to ensure the overall efficient implementation of project activities.
  • The Grants Assistant will report to the Grants Manager. 

Qualifications 

  • Bachelor’s degree  
  • Experience working with donor-funded community development projects in the region and/or NGOs 
  • Up-to-date understanding of the political environment and social conditions in the country  
  • Ability/willingness to travel throughout locations where project works 
  • Fluent in MS Office software 
  • Strong written and verbal communications skills in English, and fluency in Ukrainian; Polish is preferred
