Chemonics International, a global consulting and international development firm, seeks a Documents and Records Specialist, long-term position, for the USAID Competitive Economy Program (CEP). The USAID Competitive Economy Program (CEP) is a seven year, $170M program, which promotes a strong, diverse, and open economy by enhancing the business environment for Ukrainian enterprises, improving the competitiveness of emerging and high-growth industries and their firms in international markets and equipping the Ukrainian workforce with skills necessary for reconstruction and rebuilding the economy.
The Documents and Records Specialist will be responsible for managing, organizing, and maintaining all documents and records within the CEP project. This will include ensuring all documentation is compliant with USAID regulations and Chemonics’ policies and procedures by conducting spot checks of electronic files to ensure documentation and records are complete. The Specialist will lead in improving the program compliance system on an as-needed basis.
The Documents and Records Specialist’s responsibilities will include, but are not limited to, the following:
- Organize and maintain CEP project documents in an efficient and easily accessible manner.
- Create, update, and maintain documentation related to document management processes.
- Develop and implement records management policies and procedures.
- Ensure compliance with USAID and Chemonics rules and policies.
- Coordinate the secure storage and disposal of sensitive and confidential records.
- Conduct regular audits to ensure the accuracy and integrity of documents and records.
- Identify and rectify errors or inconsistencies in documentation.
- Collaborate with other departments to gather and organize necessary documents and information.
- Provide training and support to staff members on document and record management best practices.
- Communicate effectively with other departments regarding document and record management procedures.
- Stay updated on Chemonics best practices and advancements in document and records management.
- Other duties as assigned by the Compliance Director, DCOP-Operations, Chief of Party, or their designees.
The required and/or preferred qualifications for the Documents and Records Specialist position are:
- Bachelor’s degree in relevant field required.
- At least 4 years of experience in working with documents and records management required.
- Former experience with USAID or other international donor experience preferred.
- Understanding of Chemonics policies, regulations, and procedures; experience preferred
- Advanced proficiency in MS Excel preferred; basic proficiency in MS Word, PowerPoint, Excel, and other office applications required.
- Demonstrated attention to details, versatility, and integrity required.
- Good level of spoken and written English, and Ukrainian required.
