Чеська неурядова організація «Людина в біді» (People in Need) шукає фахівця з досвідом роботи щодо підготовки проектних пропозицій та звітності донорам для роботи у місті Слов’янськ (далі – англійською мовою).

People in Need (PIN) is the Czech Republic based NGO working in relief and development sectors. See more at www.peopleineed.cz. In early August 2014 PIN opened humanitarian response in Eastern Ukraine and the program is rapidly expanding. Focus is given on the assistance to the IDPs, returnees and population living in the contested areas in the sectors of food security, WASH, Shelter and NFIs, Livelihoods, protection. PIN is currently looking for experienced and inspired Grants and Reporting Officer.

Objective of position:  Under the direct supervision of the Head of Programs, the Grants and Reporting Officer will support the Program department as the point person for communicating PIN humanitarian activities in Eastern Ukraine to donor reports. This includes the research and coalition of information from each Program department in to concise and clear narratives, statistical evidence and case studies. The Grants and Reporting Officer must develop and possess and understanding of compliance and reporting format requirements for each donor.

Overview of Main Tasks

  • Maintain project management tools including funding trackers, grant trackers and dashboards;
  • Consolidate financial information tracking program spending and deliver status reports to Head of Programs on a monthly basis;
  • Contribute to the preparation of donor project reports (intermediate and final) and relevant annexes in a timely and detail-oriented manner, in coordination with the relevant Program Managers and Project Holder;
  • Ensure timely and quality reporting on project activities and progress on targets as per the required deadlines, including regular production of narrative and financial project reports, in coordination with the Finance Manager, under the guidance of Program Managers and overall supervision of the Head of Programs;
  • Work in close coordination with the Program Managers and their Deputies involved in the implementation of projects, to collect input and data and to develop and incorporate solid monitoring and evaluation components in reports in collaboration with M&E Unit;
  • Monitor and support the use of grants management tools amongst Program Managers to ensure accurate tracking of implementation, progress and timely alerts to potential challenges/obstacles;
  • Support the Program Managers in developing proposals and addressing ad hoc donor requests;
  • Contribute to the development of concept papers, proposals and situation analyses in coordination with the Program Managers and the Head of Programs, and provide overall support during the proposal submission phase;
  • To ensure copies of all documentation (grant proposals, reports, budget etc.) are made available to share electronically with all managers. Ensure comprehensive grant files are maintained up to date and are available for use by uploading them in electronic archive.

 Skills and Qualifications

  • University degree in relevant field;
  • 2+ years of experience related to humanitarian or developmental work
  • Native Ukrainian and Russian, upper-intermediate or advanced level of English language
  • Strong writing skills and ability to edit with a critical eye to detail (high proficiency in English). Ability to produce and edit documents under deadline pressure
  • Ability and willingness to learn and follow donor reporting and compliance requirements.
  • Ability to coordinate funding proposals and progress reports from key institutional donors (ECHO, DFID, OFDA, UNHCR, WFP, UNICEF, etc.)
  • Strong program and project management skills required
  • Strong understanding of key humanitarian principles and good practices
  • Ability to efficiently deal with competing priorities
  • Experience from complex and complicated settings with time sensitive deliverables in unstable environments
  • Working knowledge of budget development and management
  • Experience working in a multi-cultural setting
