The Finance Assistant reports and follows the technical direction and guidance of the Finance Specialist and provide support to the effective financial reporting, accounting of GC mission in Ukraine.
Responsibilities:
The overall responsibility of Finance Officer will be the day-to-day financial transactions processing, accounting and archiving. And assisting the finance specialist in their tasks.
The Finance Officer is responsible for the following:
- Ensure daily data input into QuickBooks accounting system, prepare Journal Entries and record all transactions in the QB in an accurate, efficient, and timely manner.
- Control and verify that all payment transactions are assigned to the correct account codes, cost centers, budget codes and have the accurate and sufficient descriptions in the accounting system.
- Filing all entries and ensure that all required supporting documents are attached to each entry.
- Prepare balance sheet accounts schedules monthly, ensure they reconcile and advice for any corrections if needed.
- Assist the Finance Manager in the Month/Year end closing, booking & reconciliation of the prepayments, matching process, balance sheet clearing)
- Prepare bank and cash reconciliations, ensuring balances are tracked on daily basis.
- Keeping track of the Receivables balance, ensuring that advances are cleared in a timely manner.
- Keeping track of the Payables balance, ensuring that invoices are paid on time.
- Keeping track of fixed assets and run reconciliations.
- Process and reconcile travel claim for GC staff and provide assistance to staff on processes and documents.
- As assigned by the Finance Manager, preparing and follow daily payments, make the payments and supporting documents ready for the next level reviewer.
- As assigned by the Finance Manager, prepare wire transfers; ensure information is accurate, complete and posted in the online banking system.
- Update internal trackers as instructed by the Finance Manager.
- Ensure all tax schedules are paid in a timely manner.
- Assist in facilitating any donor site visit, external or internal audit.
- Provide general support if needed as directed by the Finance Manager.
Education and Training
- A university degree in finance, accounting, business administration or a combination of experience (4 years) and education working in this sector is required.
Experience
- Knowledge of International Accounting Standards and local accounting practices in Ukraine.
- A minimum of 2 years’ experience in Finance and Accounting.
- Past work with local NGOs and/or international donor funded programs preferred.
Technical skills
- High analytical and reporting skills.
- Team player with excellent planning skills
- Self-motivated and proactive.
- Excellent command of excel, MS office and other database applications.
- Flexible and adaptable to changing working condition.
- Able to prioritize and meet deadlines.
Language skills
- Good command of spoken and written Ukrainian and English is mandatory
