Position Overview
The Grant Specialist will be responsible for the day-to-day management of a portfolio of new and existing grants activities, as well as supporting Grants Function in operational and strategic initiatives. The portfolio responsibilities will include full cycle grant management and ensuring that activities uphold CRDF Global policy and best practices in all aspects of Grants projects implementation that comply with the U.S. government regulations and internal processes.
This position will actively support and co-manage growth activities, process improvements, initiatives, special projects and other organization-wide activities. This position requires active participation and contribution to grants’ project budgets development and reviews, program status reviews, team meetings and coordination, special projects, and training.
The successful candidate is expected to have tangible customer service experience and effective communication skills, including experience working with international grantees. It is crucial to possess experience in liaising between cross-functional teams inside the organization to make sure all processes are followed for grant programs. This position will need to ensure smooth workflows, organization, maintain and update data routinely, actively manage schedules and trackers, and will routinely communicate with a wide array of individuals on a national and global level. It is expected of Grant Specialist to be able to anticipate and effectively mitigate risks and issues while managing grants at CRDF Global before they intensify.
This position is based in CRDF Global’s office in Kyiv, Ukraine.
Major responsibilities:
- Oversees a portfolio of grants with varying complexity: supports solicitation, performs pre-award reviews, reviews implementation plans, scope of work and budget, issues and negotiates grant agreements, coordinates with internal and external stakeholders, ensures subgrantee compliance with policies and procedures and maintains agreement files.
- Provides comprehensive financial monitoring, including the review and approval of subgrantee payment requests and expense reconciliations.
- Ensure timely contract close-out, renewal, or extension by tracking the completion of all transactions related to deliverables and reporting.
- Recommends policy or procedural improvements that will improve the efficiency or effectiveness of award administration, including the creation of forms and report templates for internal use.
- Represents the team or department in internal events, teams or activities, if and when requested.
- Provides high quality, timely support to internal and external clients.
- Takes active part and contributed to Grant Function initiatives, and participants in implementation of Grant Management Strategy.
- Other duties as assigned.
Qualifications / Skills and knowledge requirements:
- 5+ years of experience in grants management and/or project implementation and financial management.
- Solid knowledge of U.S. government assistance programs or other statutory donors’ programs.
- Passion for process improvement (ideally in grant management).
- Strong ability to ensure compliance with internal policies and procedures, as well as funders’ regulations, such as 2CFR 200.
- Experience in project implementation as a part of program team in Ukraine and worldwide is a plus.
- Demonstrated ability to work independently and in the team.
- Strong organizational skills, ability to maintain confidentiality, ability to take direction, forward-thinking insight, and strong written and spoken skills are essential to the success of this role.
- Ability to plan, communicate, manage, and organize multiple projects with competing priorities and different timescales.
- Proficiency in both spoken and written English language is required (English is a working language for this position).
- Bachelor’s Degree, preferably in management, law, economics, finance, accounting, international development, etc.
- Proficient knowledge of Microsoft Office Suite (Word, Excel, PowerPoint).
- Working knowledge of grants management & finance software is preferred.
- Experience or passion for business development (is an advantage).
