Estonian Refugee Council (ERC) is a value-driven non-governmental EU-certified humanitarian organization. ERC was established 21 years ago and currently provides humanitarian assistance to displaced people and other vulnerable people in 5 crisis-affected countries (Ukraine, Georgia, Jordan, Lebanon, Turkey and Kenya) and different support services to beneficiaries of international protection in Estonia. Estonian Refugee Council works and provide help in Ukraine since 2014 year and now covered 9 regions with ongoing humanitarian projects and monitoring visits. Our Mission is to stand for the rights and well-being of refugees and other vulnerable groups in Estonia and abroad.
We are looking for Human Resource Assistant to join our international team!
The ERC’s Human Resource Assistant, based in Kyiv, Ukraine, is responsible for supporting the operations of the HR functions by helping supervisors collect and update employee records and miscellaneous information. Another responsibility you will take in this role is carrying out all recruitment related tasks in Ukraine.
Responsibilities & Key Tasks

Prepare a range of complex HR documentation required for the specific area of work (e.g. employment contracts, transfer/separation letters, training-related documents, etc.) ensuring accuracy and meeting established deadlines.

Co-ordinate the maintenance of confidential personnel records, HR databases and archives, to ensure data and files are accurately stored and updated in compliance with the established standards.

Support HR Officer and deliver onboarding for new staff joining ERC, to ensure that relevant processes are followed and the conditions of terms of service are explained and understood.

Assists HR Officer in drawing up job descriptions and job announcements.

Assists with shortlisting incoming applications based on requirements or hiring criteria, gets references.

Assists in organizing the selection process (e.g. interviews).

Assists with notification of unsuccessful applicants, documents the selection process, archives the documentation

Responsible for proper filing of all the documentation (personnel files, orders, staff requests etc) both digitally and in hard copies.

Ensures proper personnel data storage (personnel files, SAP data etc.).

Support HR Officer in preparation of keynotes, draft reimbursement forms and other relevant financial and administrative documents

Assist Finance Officer in preparing payments in online banking and processing bank statements in the accounting system.

Assist in implementing HR policies, procedures, standards and guidelines for in-country operations in line with HQ standards.

Update internal documentation and notify staff when internal, local or general HR rules are changing.

Performs other duties and tasks at the request of the HR Officer.
Qualifications:

Minimum of Bachelor’s Degree in Management, Human Resources, Administration management or related field.

Minimum 1 year professional work experience with HR procedures and standards.

Previous experience in non-profit agency/grant-funded environments is desirable.

Proficiency in spoken and written English is an assent, and Ukrainian or Russian.

Solid organizational skills: detail-oriented, ability to multitask, set priorities, meet deadlines and plan own work.

Solid computer skills, including high proficiency in MS Excel and finance related software.

Strong interpersonal and communication skills and the ability to work effectively in a multicultural environment.
