LEARNING OBJECTIVES
Title of Position: Intern
Organizational Unit: Human Resources
Classification: Internship
Type of Appointment: Full time (40 hours per week), 2 months with possibility of extension
Nature of Internship: Under general supervision of Chief of Mission (CoM) and National Senior Human Resources Officer and direct supervision of Senior Human Resources Specialist Intern will be responsible for administrative tasks:
- Organize the Mission’s filing system, following IOM general guidelines. File incoming/outgoing correspondence and other documents accordingly. Scan/copy documents. File-research as/when needed for follow-up purposes.
- Support with interpretation and drafting official and unofficial correspondence in English and Ukrainian.
- Perform such other duties as may be assigned.
- Assist HR team with digitalization of personnel files of active and former employees by accurate scanning of the documents.
- Review personnel folders for compliance with HR Guidelines on maintaining personnel files and support HR Team to update and collect any missing documents from staff members.
- Ensure appropriate systematization of digital files, including naming and standard folder set up in accordance to HR Guidelines on maintaining personnel files.
- Prepare letters for mailing, labelling, enveloping, control of delivery.
Desired qualifications:
Education:
The candidate should:
- Be enrolled in the final academic year of Bachelor’s / Master`s level or equivalent;
- be enrolled in a graduate school programme (second university degree or equivalent, or higher);
- or have graduated with a university degree (not later than 1 year ago)
Experience and skills:
- Technical mastery of the following software programs: MS Word, Outlook, Excel, PowerPoint.
- Excellent communication skills.
- Attention to detail and strong organisational skills.
- Ability to handle routine and repetitive tasks
- Flexibility and ability to work under pressure.
- Ability to work effectively and harmoniously with colleagues within a team from varied cultures and professional backgrounds.
Languages: Fluency in English and Ukrainian.
