General Summary:

Momentum Wheels for Humanity (MWH) is seeking candidates for a Project Support and Logistics Assistant for the USAID-funded project Learning, Acting, and Building for Rehabilitation in Health Systems (ReLAB-HS) in Ukraine. The Project Support and Logistics Assistant will provide logistical support for project operations, including office management, project procurement, and travel and accommodation bookings, as well as support activity coordination for planned workshops, trainings, stakeholder meetings, and other events. Only candidates with work authorization in Ukraine will be considered; relocation benefits will not be provided.

About ReLAB-HS

Funded by the United States Agency for International Development (USAID), the Learning, Acting, and Building for Rehabilitation in Health Systems (ReLAB-HS) is a global project that supports the development of health systems that are responsive to the growing needs for rehabilitation within populations. It seeks to co-design and implement innovative, comprehensive, cost-effective interventions that strengthen health systems for the provision of rehabilitation, including assistive technology. ReLAB-HS focuses on integrating rehabilitation and assistive technology services across all levels of care within health systems. The ReLAB-HS consortium comprises six international partners with expertise in health systems, implementation science, and delivery innovations.

Specific Duties and Responsibilities:

The Project Support and Logistics Assistant will be responsible for performing the following primary tasks:

  • Provide planning, coordination, and logistical support for in-country trainings, workshops, meetings, and other events, including stakeholder coordination, documentation preparation, venue identification, and coordination with vendors
  • Manage office rent, utility, and other vendor contracts under the direction of ReLAB-HS Finance and Administration Coordinator
  • Source and procure needed office and project supplies in line with USAID rules and regulations and MWH policies and procedures
  • Ensure that the country office has adequate stock of all required office supplies and place orders in line with the approved budget
  • Properly maintain and file all purchase requisitions, quotations, purchase orders, and other relevant logistics documents associated with ReLAB-HS activities
  • Identify and respond to programmatic and logistical needs, including facility needs and information communication and technology questions
  • Manage travel arrangements for in-country travel, including airfare, ground transportation, and accommodations as needed
  • Support travel arrangements for international travel to Ukraine, including ground transportation and accommodation as needed
  • Support activity implementation through secretarial support in planning appointments for meetings with implementing partners and stakeholders and taking meeting minutes as assigned
  • Assisting in facilitating online and in-person ReLAB-HS workshops and training as required
  • Manager project inventory tracker and support on preparation of project inventory and VAT reports as required
  • Manage paper filing and record retention systems ensuring all relevant project documentation is available
  • Other project support and logistics-related tasks as needed

Minimum Qualifications:

  • Bachelor’s degree in relevant field, including business administration, procurement and logistics, program management, or related field
  • At least two years of professional experience providing project-related and/or logistical support in a team environment
  • Detail-oriented with good coordination, organization, and prioritization skills
  • Demonstrate analytical and administrative skills, as well as resourcefulness and initiative
  • Excellent computer skills with practical experience using Microsoft, Outlook, DropBox and other computer applications
  • Highly proficient in verbal and written English, Ukrainian, and Russian

Preferred Qualifications:

  • Prior work experience with an international technical assistance implementer in Ukraine
  • Familiarity with USAID rules and regulations related to travel, procurement, and VAT reporting
  • Prior work experience booking travel and coordinating events
