Job Title: Short-Term Finance & Administrative Assistant
Estimated Period of Performance/ Level of Effort: Short-term 3-month assignment (anticipated to be October-December 2022)
Background:
The USAID Ukraine Transformation Communications Activity (TCA) is a five-year Activity whose purpose is to partner with the Government of Ukraine (GOU), private sector, and civil society to increase the resilience of Ukraine’s democracy through innovative communications initiatives that engage Ukrainians in a conversation about the country’s democratic transformation and European integration. The objectives of the Activity are to equip USAID and its partners to conduct data-driven communications; increase the quality and quantity of strategic communications on reform dividends; and broaden the use of social impact content by Ukraine’s civic leaders and creative sector.
Job Summary:
The short-term Finance and Administrative Assistant will be responsible for supporting general office administration in daily needs for office operations, including maintaining and spot-checking filing systems, assisting the project with review and completion of financial and administrative documentation, organizing signatures from external partners, and other administrative responsibilities. The assistant may help with small procurements, purchase requests, or financial verification for tendering. This is a great entry level opportunity for a flexible, energetic person who has attention to detail with strong English skills.
Principle Duties & Responsibilities:
- Assist in maintaining the project electronic filing system.
- Conduct a review of projects files to ensure completion, flag any missing documentation, and work with the team to ensure completion.
- Draft and collect documents such as Certifications of Acceptance or other documents that require wet signatures from partners.
- Review financial documentation from project partners and grantees as part of budget analysis to ensure market reasonableness.
- As requested, perform small translations from English to Ukrainian and vice versa for project documentation.
- Assist with project procurement efforts as requested.
- If located in Kyiv, conduct errands as requested for the project.
- Perform other duties as required or assigned.
Qualifications:
- University degree in finance, business, or other relevant skill is preferred.
- Experience working in an office setting, strongly preferred.
- Ability to effectively use computer software including Adobe Pro and Excel.
- Fluent Ukrainian or Russian required and fluent English is required. Applicants should be comfortable working in English, including writing.
