The project “Support to Comprehensive Reform of Public Administration in Ukraine” (EU4PAR) in Ukraine, financed by the European Union, is seeking a qualified professional to fill the position of an Administrative Assistant.
Project Background:
The project is a four-year activity that aims to support building of an accountable, effective and efficient public administration in Ukraine, through assisting the Government of Ukraine in the implementation of Ukraine’s 2016-2020 Strategy of Public Administration Reform and its Implementation Plan, as well as other connected policy documents and their implementation plans in line with the OECD/SIGMA principles of public administration.
Area of responsibilities:
Under the guidance of Project Leader (PL) and Project Manager (PM) in cooperation with the responsible project experts, the Administrative Assistant will be expected to carry out the following duties:
The most typical functions may include:
– Maintain hard and electronic office files and records; classify and code material relating to a variety of topics;
– Search and retrieve office files, and reproduce documentation and background material for reference and action by the supervisor, as and when required;
– Receive, register, route correspondence and office pouch. Maintain a follow up system;
– Draft routine correspondence, memoranda and reports. Format more complex documents by using the appropriate project template technology;
– General support to the PL and PM in terms of administrative assistance, office management, correspondence, record keeping and filing, bookkeeping and accounting;
– Support the Project in organisational, logistical and administrative arrangements and technical matters, especially with organizing conferences, training sessions, workshops, meetings, expert missions and study visits of experts;
– Help arrange contacts or meetings, attend meetings and draft and disseminate minutes;
– Assist the PL and PM in monitoring and reporting tasks;
– May regulate and monitor routine provision of services and/or shifts from providers, as and when applicable;
– Monitor office/compound facilities and equipment and in consultation with the supervisor take appropriate action to ensure proper functioning at all time.
– Any other responsibilities/functions deemed necessary by the supervisor/or senior manager in order to meet the level of the services in the organization
Required skills and experience:
Qualifications:
– Secondary education. Bachelor or technical studies in administration or related fields desirable.
– Minimum two years of previous work experience in administration or relevant programme support service job;
– Excellent knowledge of office applications (e.g. MS Outlook, MS Excel, MS Word and MS Power Point) and internet browsers;
– Previous work experience in international projects or organizations would be an advantage.

– Excellent interpersonal and communication skills;
Language:
– Fluency in English, Ukrainian and Russian.
