HR Assistant (Recruitment) (full-time, Kyiv)

(internal SAP code: HR Assistant)

Responsibilities:

  • Dealing with questions arising in national staff related area.
  • Supporting HR Specialist (responsible for recruitment) in their daily work.

Tasks:

  1. Personnel recruitment and hiring

HR Assistant:

  • Assists managers in drawing up job descriptions and job announcements.
  • Publishes job announcements on all recruitment platforms used in GIZ UA (rabota.ua, Happy Monday, LinkedIn, www.giz.de, IDA, facebook etc).
  • Downloads applications for all the vacancies from all the recruitment platforms.
  • Assists with shortlisting incoming applications based on requirements or hiring criteria, gets references.
  • Assists in organising the selection process (e.g. interviews).
  • Assists with notification of unsuccessful applicants, documents the selection process, archives the documentation and enters the data in existing HRM systems.
  • Ensures timely and proper filing of recruitment related documentation (Assessment lists etc).
  • Prepares drafts of the Employment Agreements for newcomers.
  • Responsible for timely informing GDIP about hiring new staff.
  • Conducts pre-hiring on-boarding with newcomers.
  • Responsible for delivering welcome letter to all newcomers and updating Security team about the changes.
  • Manages timely filling in the Induction plan for newcomers by managers.
  • Organizes timely payment on the invoices, related to HR (translation, recruitment platforms etc).
  • Other ad hoc request from HR team and management.
  1. HR instruments and procedures

HR Assistant:

  • Assists in implementing policies for national personnel;
  • Assists with formulating and updating a wide range of HR information materials;
  • Assists with developing HR procedures and instruments;
  • Ensures proper personnel data storage (personnel files, SAP data etc.);
  1. Other duties/additional tasks

HR Assistant:

  • Performs other duties and tasks at the request of management.

Required qualifications, competences and experience:

Qualifications

  • BA/MSc degree in social sciences or psychology (if possible, with a focus on HR management) or comparable degree.

Professional experience

  • Initial experience in assistant role or experience in HR field would be an asset.

Other knowledge, additional competences

  • Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office, Teams).
  • Basic knowledge of HR management, knowledge of national labour and social law  would be an asset.
  • At least upper-intermediate level of English language, native speaker of Ukrainian, German language would be a plus.
  • Awareness of how to handle HR issues appropriately (confidentiality, data protection).
  • Very good communication skills and client-orientation.
  • Stress-resistance and good time-management.

Employment conditions

Full-time position with 40-hours working week. The contract duration is 1 year. Prolongation is possible. Starting as soon as possible.
