Junior Registration and Logistics Officer (full-time, Kyiv)

(internal SAP code: Junior Logistics Specialist)

Responsibilities:

  • Assisting the Portfolio Management Officer in all registration processes for projects as well as other tasks concerning the legal status of GIZ office and projects in Ukraine.
  • Providing administrative support for seconded staff for current period of restricted presence of GIZ international staff in Ukraine.
  • Support of international staff or seconded employees once travel scheme will be expanded or secondments re-established.
  • Logistic and organizational support of travels of e.g. delegations to GIZ Ukraine in cooperation with travels team and PMU/Clusters.

Tasks:

  • Assisting the portfolio management officer dealing with accreditation of GIZ, project registration, quality assurance of the documents and maintenance of the PBS data.
  • Support for seconded employees and their family members in matters of visas and temporary residence permits.
  • Assistance in temporary registration of private cars in Ukraine (Customs and Car Registry Office).
  • Assistance in procedures of import and export of personal goods for seconded employees.
  • Support for seconded employees in the search of the apartment in Kyiv and residence registration.
  • Contact person for communication with the Ukrainian authorities regarding birth certificates, Tax ID numbers, penalties etc.
  • Focal point for accompanying family members.
  • Assistance in the departure of seconded employees and their family members.
  • Support for national staff and project partners in matters of (Schengen) visas and insurances.
  • Self-responsible cash management for the payment of advances for the procurement of visa and residence permits.
  • Participating in the onboarding of international newcomers.

Required qualifications, competences and experience:

  • Bachelor’s degree or master’s degree in business administration, Business Management or relevant field.
  • Minimum of 1 year of experience in a similar position, preferably working for an international organisation / NGO / foreign business in Ukraine.
  • Good knowledge of Ukrainian, German and English languages is a must.
  • Strong computer skills, particularly in MS Office application (e.g. word, excel, PowerPoint).
  • Excellent communication, organizational, coordination and interpersonal skills in an international setting.
  • Ability to work and under stressful conditions, self-initiator, flexible and able to work with people of different backgrounds, service oriented, friendly personality, high responsibility, well organised and motivated.

Employment conditions

Full-time position with 40-hours working week. The contract duration is 1 year. Prolongation is possible. Starting as soon as possible.
