Background and general scope
The Office Assistant (OA) position provides overall support to the Ukraine country programmes to help accomplish the mission of ERC. OA provides day-to-day programmatic and administrative support, maintains programme records, provides contract management support, organizes events, helps conducting research, and undertakes other tasks as assigned.
Tasks and responsibilities
● Assist in day-to-day operations in administration of ERC Kyiv office.
● Coordinate all logistical arrangements for programme meetings and events, including reserving rooms, drafting, and formatting event text, sending out invitations and monitoring RSVPs, ordering food and supplies, arranging room set-up, and serving as the main point-of-contact for attendees.
● Book hotels, flights and train tickets for the project deployments according to ERC policies.
● Assist when needed for procurement, external contractors or vendors on contractual and logistical issues.
●Other related tasks as assigned
Key competencies
● Prior work experience in a similar role, and familiarity with general personnel practices, admin/finance procedures, and coordination of office activities.
● Prior experience in organizing trainings and meetings and making domestic and international travel arrangements.
● Very good writing skills.
● Working level of English and fluency in Ukrainian or Russian.
● Proactive and flexible, solution-oriented, with excellent interpersonal skills for working in a multicultural team environment
