Summary of America House Program:

Through the U.S. Embassy in Ukraine, IREX administers the America House, a welcoming, dynamic space that fosters discussion and debate, provides opportunities for professional and personal skill building, and sparks creativity and collaboration around shared Ukrainian and U.S. values. The America House offers not only a physical space, but also a virtual hub, which facilitates access to balanced resources and information. Summary of Position:

The America House Program Assistant is responsible for welcoming and helping visitors, and partners, providing information on programs, resources and opportunities offered, assisting with organizing America House Odesa events and assist with other tasks to implement programs. Specific duties include, but are not limited to, the following:

Description of Responsibilities:

  • Assist Program Manager in program design, development and implementation of online/offline formats;
  • Support English Language Resident in designing English language programming (EL Club, Speaking Club, Movie Nights, games or quizzes);
  • Cooperate with Communication Coordinator in collecting information about events, drafting announcements and visual materials for further public promotion;
  • Back up Program Manager in correspondence with speakers and partners in preparation for lectures, workshops and other activities;
  • Helping with administrative/logistical procedures and preparing admin and accounting payment documents;
  • Assist in program participants recruitment by compiling lists of promo channels and  identifying festivals, fairs, activities,  offline/online platforms;
  • Update program attendees database, register new members and maintain membership;
  • Engage with participants and visitors with courtesy and professionalism. Provide basic information to general inquiries, present America House resources, programs and opportunities;
  • Support America House team as needed and provide general support to staff including photocopying, note-taking (or be familiar with online-tool as Miro, Padlet, etc.);
  • While conducting in-person events, ensure that event venue is always in presentable and working condition with a full stock of supplies.
  • Provide logistical support and room setup for events. (Please note that the room setup often requires moving chairs and tables);
  • Assist with writing reports and monthly plans;
  • Other duties as assigned. 

Qualifications:

  • Bachelor’s degree;
  • Excellent English and Ukrainian;
  • Strong intercultural and communications skills;
  • Excellent verbal and written communication skills;
  • Demonstrated customer-service orientation and problem-solving mindset;
  • Skilled at handling multiple tasks and able to maintain a calm, friendly demeanor under stressful situations;
  • Must be able to adhere to tight deadlines and work consistently;
  • Familiarity with Outlook, Word, Excel, PowerPoint, and graphic media applications software such as Photoshop, Adobe InDesign is an advantage;
  • Experience studying in the United States or holding an ECA alumnus/a status is an advantage.
  • Familiarity with Odesa local context seen as an asset. Applicant currently residing in Odesa or planning to relocate to Odesa in the nearest future are given preference in selection.
