IREX is seeking a qualified professional to fill the position of Program Assistant for its Ukraine Civil Society Information Resiliency Program (UCSIRP). The Program Assistant will support program staff when working with the local actors, CSOs, to provide direct assistance to subaward management and overall program needs to increase societal resilience to propaganda and disinformation targeting Ukraine and the war in Ukraine.
The goal of Global Engagement Center (GEC)-funded Ukraine Civil Society Information Resiliency Program is to increase resilience to disinformation and propaganda by supporting the efforts of non-governmental and civil society organizations in this region that are working to mitigate and counter the impacts of disinformation targeting Ukraine and the war in Ukraine.

Your Background & Skills
- Bachelor’s degree in social science, international affairs, or a similar discipline.
- Minimum of one year of relevant experience, preferably in the NGO sector or international projects.
- Good knowledge of English and Ukrainian.
- Strong intercultural and communications skills.
- Multitasking and ability to maintain a calm demeanor under stressful situations.
- Strong writing skills
- Excellent interpersonal and organizational skills.
- Advanced knowledge of MS Office applications.
- Ability to be flexible and respond to a rapidly changing program environment.
- You must demonstrate unrestricted authorization to work in Ukraine.
Your Daily Tasks
- Support project activities focused on providing assistance to CSO and via subawards mechanisms.
- Assist in the subgrant management and procurement documentation.
- Assist with the trainings in, digital and physical security, first aid and psychosocial first aid including designing materials, managing project deadlines, and ensuring compliance with the budget.
- Team support and assistance to program staff.
- Draft program-related documents, reports, plans, and success stories.
- Translate program-related documents (English and Ukrainian).
- Systematize and organize data and information on SharePoint.
- Provide logistics/arrangements support for staff and program participants.
- Help arrange meetings for senior management as needed and requested.
- Create meeting notes, and other written communication materials.
- Provide support to monitoring and evaluation activities, data collection, and reporting.
- Organize meetings with partners, subgrantees, beneficiaries and vendors.
- Process invoices, financial documents, and other contractor’s requests.
- Assist program staff including photocopying, filing, note-taking, and other relevant duties.
- Stay up to date with monitoring the conflict in Ukraine and how it affects the CSOs.
- Help arrange meetings with subgrantees, suppliers, subcontractors, beneficiaries, vendors and senior management as needed and requested.
- Provide logistics/arrangements support for staff and program participants.
- Create meeting notes, summaries of the meetings, and other written communication materials.
- Compile the technical input for the development and adaptation of program documents.
- Help with the overall monitoring and evaluation activities, data collection, and reporting.
- Assist in gathering technical assistance in relevant areas of expertise and from partners.
- Prepare invoices, financial documents, and other contractor’s requests.
- Support the due diligence process and review financial documents of the subgrantees.
- Assist program staff as needed in program-related events, providing general support including photocopying, filing, and note-taking.
- Stay up to date with monitoring the conflict in Ukraine and how it affects staff and CSOs.
- Other duties as assigned.
We conduct background checks on all successful candidates.
This position is eligible for Telework. The eligible employee is a regular, full-time Ukraine-based staff who works from a worksite outside the Ukraine office for one or more days a week.
This position is not eligible for Immigration Sponsorship.
