Project Assistant (full-time, Kyiv)

Partnering in Business with Germany (PG) is a global programme of the Federal Ministry for Economic Affairs and Climate Action and designed to promote foreign trade and investment. It seeks to help SMEs from developing and emerging countries forge successful business ties with German SMEs. Each year, around 1,000 managers from around the world are prepared to enter the German market and brought into contact with German companies that themselves are interested in entering new markets abroad. The programme leads to the establishment of long-term business partnerships and a global network of internationally active SMEs. Partnering in Business is implemented on behalf of the Federal Ministry for Economic Affairs and Climate Action by GIZ.
REAS OF RESPONSIBILITIES:
As Project Assistant in the programme, you will work closely with a regional team of currently eight people (currently one employee in Kyiv/ Ukraine, seven employees in Bonn/ Germany) and in coordination with your manager to ensure that the commercial, organisational, administrative and technical management of the programme and accompanying measures are handled properly and on time in compliance with legal, contractual and internal company guidelines and procedures.
The Project Assistant is responsible for:
- participant management and communication in coordination with partners in the partner countries, e.g. Ukraine and others;
- processing contracts with GIZ contractors;
- participation in advising contractors on programme-specific procedural requirements;
- process support for training programmes on the programme’s own communication and cooperation platform PG Campus, maintenance of databases, keeping statistics;
- participation in the management, monitoring and evaluation of programme measures, support in cost monitoring;
- participation in reporting to the Federal Ministry for Economic Affairs and Climate Action;
- participation in the quality and knowledge management of the programme;
- participation in programme marketing and public relations work;
- preparation of minutes and participation in presentations;
- preparation, organisation and supervision of events such as national and international workshops and conferences in Ukraine and abroad;
- communicating within the programme in German and English.
REQUIRED QUALIFICATIONS:
- completed vocational training (administrative vocational training, office administrator, office communication/ organisation, business administration or similar) with relevant professional experience in the processing of offers and orders and in event management;
- experience in the organisation and implementation of national and international events (participant management, logistics, direction, etc.), in face-to-face, online and hybrid formats;
- very good language skills (written and oral) in Ukrainian, German and English are required;
- very confident with MS 365 (Word, Excel, PowerPoint, Teams, One Note etc.);
- high digital affinity, experience in the operation of IT platforms;
- ability to work in a team, customer orientation, personal responsibility, commitment and resilience;
- strong social, communicative and intercultural skills and sensitivity are of particular importance when dealing with foreign partners and participants;
- knowledge and experience of GIZ project management and good knowledge of GIZ order management are an advantage.

Employment conditions
Full-time position with 40-hours working week. Place of assignment is Kyiv. The contract duration is 1 year. Prolongation is possible. Starting date of assignment is November 1st, 2024.
