Deutsche Gesellschaft fuer Internationale Zusammenarbeit (GIZ) in Ukraine is seeking qualified professionals for the project “Vocational Education and Training in Ukraine \ Skills4Recovery” (hereafter “Project”) for the Cluster “Sustainable Economic Development” in its office in Kyiv to fill the position of the:
Receptionist (full-time, Kyiv)

The project «Skills4Recovery» is implemented by Deutsche Gesellschaft fur Internationale Zusammenarbeit (GIZ) GmbH and commissioned by the German Federal Ministry for Economic Cooperation and Development (BMZ). The political partners are the Ministry of Education and Science of Ukraine and the Ministry of Economy of Ukraine.
The objective of the project «Skills4Recovery» is to increase the availability of a qualified workforce for the Ukrainian recovery process. The provision of qualified labor in sufficient numbers is based on creating adequate educational opportunities for all people of working age – this includes initial education for young people and further education for adults.
Area of responsibilities:
- General office services, daily reception and secretarial services (answering incoming phone calls, processing of incoming and outgoing documents, etc.)
- Meets and greets visitors and guests in the Cluster office, supports and arranges meetings;
- Supervises courier services; organizes the deliveries of different types of materials and goods (water, stationery, household goods, etc.); supervises stationery, household and other goods;
- Supervises maintenance of the office and keeps the contact to the landlord;
- Ensures creation and regular update of lists of contacts/ addresses/ birthdays/ etc;
- Drafts business letters, emails in English or Ukrainian language, when required;
- Participates in procurement related processes (conduct of market research, supplier choice justification, cost calculation preparation, supports the opening team of the Procurement and Contract Specialists, etc.);
- Filing of documents/papers in accordance with GIZ filing rules;
- Supports office work, provides assistance to the Management, the Finance/Admin and Technical staff;
- Performs other duties and tasks at the request of management.
Requirements:
- Bachelor’s degree or comparable;
- Excellent command of Ukrainian and English, knowledge of German language is an advantage;
- Sensitivity in handling and disposing of potentially important documents;
- At least 1-year professional experience in a comparable position in the international environment;
- Experience with courier services and purchase of goods;
- Basic understanding of payment documents (for goods and services);
- Neat and professional appearance, polite approach in dealing with visitors and staff in the Cluster office;
- Team player with intercultural communication skills, customer and service-oriented attitude;
- Strong attention to details and ability to work with numbers;
- Good working knowledge of computer applications and IT technologies (MS Office, phone, Outlook email program, internet, technical equipment for meetings and conferences, etc.);
- Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with the superior

Employment conditions
Full-time position with 40-hours working week. The place of assignment is Kyiv. The contract duration is till June 2026 with the option of prolongation.
