Administrative Assistant
Deloitte is seeking an Administrative Assistant to support the USAID Health Reform Support project, a 5-year USAID- funded project in Ukraine. This is a full-time position, based in Kyiv, Ukraine.
- Project Background and Summary:
The purpose of the USAID Health Reform Support project is to support a transparent, accountable, and effective health care system that is capable of meeting the health needs of the Ukrainian people. Advancing health sector reforms, enhancing transparency, and tackling corruption will reduce out-of-pocket payments and improve access and availability of high quality, evidence-based health care services for Ukrainians. Elimination of corruption is a cross-cutting theme across all objectives to be achieved by this activity, which include:
- Improve health sector governance.
- Support the transformation of the healthcare financing model.
- Strengthen the health workforce.
- Enhance transparency, accountability and responsiveness of the health care system.
- Improve service delivery system at all levels.
- Objective
The Administrative Assistant will provide administrative, logistics, and operations support for the project’s main office in Kyiv and for regional activities throughout Ukraine.
- Responsibilities:
The Administrative Assistant will:
- Report directly to the Chief of Party, Deputy Chief of Party, and Director of Finance, Administration, and Compliance;
- Arrange logistics for travel, meetings, events, and workshops for Ukraine and Washington, DC based staff members;
- Coordinate travel and itineraries for the project’s international consultants;
- Assist in planning large conferences, trainings, workshops, and events in Kyiv and other oblasts;
- Support the implementation of project training/events, including some travel outside of Kyiv;
- Assist in the procurement of goods and services in accordance with Deloitte and USAID policies/procedures;
- Assist in document tracking, control and filing;
- Assist the Director of Finance, Administration, and Compliance with project human resources;
- Assist the Finance team in managing/processing financial transactions;
- Draft program documents and communication pieces, complete data entry assignments and provide other programmatic support to technical staff members, where needed;
- Assist in providing all other ad hoc administrative support as required by project leadership.
- Minimum Qualifications
- Native Ukrainian fluency, both written and spoken;
- Fluency or high proficiency in written and spoken English;
- Bachelor’s degree in program administration, international development, the social sciences or another related field;
- 2-4 years of experience serving in an administrative or coordination support role, preferably on a USAID project or program;
- Familiarity with donor programs in Ukraine
- An ambitious and intellectually curious attitude and desire to grow professionally
- Ability to meet deadlines, prioritize deliverables, and to work as a member of a team to reach a common goal;
- Demonstrated analytical, organizational, and interpersonal skills
- Ability to multitask, adapting to frequently changing priorities;
- Ability to sustain interpersonal and professional relationships with internal colleagues and contacts in donor and peer organizations;
- Problem-solving abilities and a dedication to creating change in Ukraine;
- Excellent computer skills (Microsoft Word, Excel and PowerPoint);
