Duties and Responsibilities: under the overall supervision of the Chief of the Office, Team Associate will be responsible for administrative, logistics, financial, communication issues, and ensure effective and efficient functioning of the office. Specifically, s/he will perform the following key tasks:
Operational Support:
- Ensuring implementation of operational strategies by support smooth operational running of the office with full compliance with established operational rules and procedures; act as office’s focal point (operations, security, HR, gender etc.); perform administrative support functions to office, including personnel matters, attendance records, facilitating missions, office maintenance, reception/registry, procurement, contracting;
- Plan, support and participate in field trips;
- Participate in data collection, analysis and maintenance of related data base and files; keep accurate electronic and paper filing, information and records systems;
- Keep updated Agency’s inventory and assure that UN/UN DPPA regulations on the equipment use, storage and proper maintenance are adhered. Assure that the project equipment transfer/disposal is being done in accordance with UN/UN DPPA rules;
- Provide logistical support, including travel arrangements, accommodation, visas, tickets, etc. to the office staff;
- Closely liaise with UNDP Ukraine Operations on a variety of the operations related issues: procurement, financial management, IT and human resources;
- Maintain stationery and office supplies, purchase office equipment when needed; Preparation of routine correspondence, faxes, short translations/interpretation, proofreading as needed;
- Preparation of office’s budget and requests for financial authorization to DPPA at UNHQ; maintain necessary budgetary controls and records, and provide them upon request;
- Prepare accurate budget revisions;
- Provide day-to-day management of the UN DPPA financial operations in accordance with UN/UN DPPA/UNDP rules and regulations and relevant SOPs;
- Prepare requests for payments;
- Preparation of the supporting documentation for contracts and payments;
- Maintain continued cooperation with UNDP in coordination of all HR-related issues;
- Facilitate recruitment and contract management processes of UN DPPA personnel and experts as will be required; collect the documentation required for the recruitment and contract extension, separation and other related administrative actions;
- Facilitate and provide full support to UN DPPA monitoring, evaluation and audit missions, as well as missions of experts;
- Maintain contacts with relevant partners on a variety of work-related issues.
Communications Support
- Prepare correspondence, maintain contacts with governmental and non-governmental institutions, local authorities, NGOs, academia, etc.;
- Participate in meetings, round tables, conferences, other public activities; take meeting minutes;
- Perform analytical work, including drafting of readouts, updates and media coverage of the job-related matters;
- Contribute to the report’s preparation in timely and quality manner;
- Ensure wide and target distribution of information materials produced.
Knowledge Sharing and Knowledge building
- Maintain updated database of counterparts, contractors, consultants, suppliers, collect relevant information on best services and expertise providers;
- Facilitate UN DPPA related training/learning activities;
- Participate in the trainings, courses, workshops;
- Assist newly recruited personnel upon arrival and conduct introductory briefings on relevant rules and procedures as well as security arrangements.
Perform other duties as per request.
Measurable outputs of the work assignment:
- Full and appropriate use of UN DPPA Programme Operational Policies and Procedures and Standard Operating Procedures during implementation of the UN DPPA activities.

- Agency implementation plan is fully and timely implemented;

Required Skills and Experience:
- Bachelor’s degree in Social Science, Business Administration, Management, Economics or related field. Master’s degree in related fields would be an asset.
- At least 3 years of practical experience in the area of operational support, administration, finance, programme support or other related fields;
- Work experience in political, analytical, communication areas would be an advantage;
- Experience in working on similar positions with UN system or international organizations/projects will be considered as an advantage;
- Exposure to covering political matters and experience in drafting reports, readouts, updates, media coverage would be an asset;
- Experience in usage of computers and office software packages.
- Knowledge of UN applicable Rules and Procedures is an advantage;
- Fluency in English, Ukrainian and Russian is required (both spoken and written).
