IFES is a non-profit, non-partisan international organization. Since 1994, IFES has played a significant role in promoting electoral, administrative and legal reform in Ukraine.  In cooperation with partners in Ukrainian civil society and the Central Election Commission (CEC), IFES is working to foster dialogue on electoral reform, build the capacity of local NGOs, institutionalize best practices in training election officials and ensure more equal representation in the electoral process for disadvantaged populations, especially women and persons with disabilities.

IFES is seeking qualified applicants for the position of Finance Assistant. The Finance Assistant will be responsible for the day-to-day tasks in a financial department. Fulltime position. A one-year contract with the possibility of extension.

Job Responsibilities

Under the direction of the IFES Ukraine Senior Finance Manager, the Finance Assistant’s responsibilities will include the following:

  • Support the monthly program financial cycle, by assisting in the preparation of monthly wire transfer requests, monthly office expense reports for IFES headquarters, as well as travel expense reports for office staff;
  • Maintaining financial files according to donor and internal procedures;
  • Verifying the accuracy of invoices and acceptance acts on contract provisions;
  • Ensuring the provided services are within the SOW and total costs do not exceed the agreement ceiling;
  • Filling in tracking lists to monitor payments against contracts;
  • Assisting in checking package of supporting documents for payments;
  • Translating invoices and other documents as requested;
  • Assisting in preparing Finance reports for donors.
  • Scanning finance monthly reports;
  • Provide temporary backup support in the absence of the Finance Officer and Senior Finance Manager;
  • Preparing Orders for vacation, business trip and organize HR records;
  • Collecting and reviewing staff timesheets;
  • Performing other tasks and special projects as required by management team.

Successful candidates should be able to demonstrate the following attributes:

  • Bachelor’s Degree or higher in relevant field required;
  • Prior experience in accounting
  • Previous experience working with a development project, NGO or International Organization is preferred
  • Highly organized with excellent attention to details;
  • Experience in working with the projects funded by USAID, CANADA (GAC, DFADT), UK (DFID) is preferred;
  • Previous experience of QuickBooks, 1C and OTP online banking is preferred;
  • Proficient in the use of Microsoft Office;
  • Previous accounting and bookkeeping knowledge;
  • Ability to remain organized while handling multiple tasks under tight deadlines;
  • Ability to complete tasks under supervision;
  • A good team player and a communicator to build good working relationship with colleagues;
  • Ability to be discreet and maintain confidentiality
  • Ability to show initiative, good judgment, and resourcefulness;
  • Must value operating in a collaborative and cooperative environment; and
  • Excellent communication skills in English, Ukrainian and Russian;
