Overall purpose of the role:
To establish and roll out rudest fleet management systems for efficient management of the fleet in all locations of operations. Build capacity of junior colleagues. The Fleet Team Leader will be based in Severodonestk and regularly travel to other location of operations
Your main duties and responsibilities will be:
- People Management
Lead and manage the fleet management team and drivers - People planning, performance, and well-being
- Capacity development of junior fleet management staff and operators (drivers)
- Participation in hiring and termination
Fleet management

Contributing to the processes of procurement of vehicles and vehicle rental services

Providing that vehicle rent contracts with DRC drivers are well developed and maintained

Ensure that the fleet management is fully in line with legislation of Ukraine, DRC regulations (Handbook on Fleet Management, SOPs, global and local policies, etc.) by developing and implementing relevant regulations

Liaise with programs and teams to match the fleet operation to the needs, harmonize fleet management with programmatic regulations (demining SOPs, etc.)

Ensure that all tracking tools are maintained updated and accurate across all field offices.

Verification of log sheets and fuel reports

Aggregation of fuel requests and making procurement of fuel

Distributing fuel vouchers and keeping records

Control that technical condition of vehicles provides reliable and safe operation

Initiate procurement of related goods and services (consumables, parts, medical and technical examinations, car wash, parking, branding, additional equipment, satellite tracking, etc.)Advise on any increase/improvement of fleet capacity in the Area.

In collaboration with Safety Specialist, ensure safety related protocols are adhered including tracing systems and safety equipment are in place.

Ensure vehicle are maintained on a timely manner and meet required standard.

Fleet management system in place and digitalized to ensure better monitoring of use and associated costs

Efficient and environmentally friendly use of vehicle fleet

Ensure vehicles are branded accordingly to DRC and donor visibility requirements
About you
To be successful in this role we expect you to have minimum 5 years of experience in humanitarian fleet management including developing fleet management systems, drafting Standard Operating Procedures (SOPs) and providing trainings to both technical staff (drivers) and end uses (passengers) and at least 3 years’ experience with people management.
Moreover, we also expect the following:
- Diploma in a technical field, degree in Fleet management, Logistics, Supply Chain would be an advantage
- Certification in fleet management (desired if no academic degree)
- Driving license (desirable)
- Knowledge and experience of dealing with service providers and contractors’ management
- Excellent computer skills in MS Word & Excel, as well as experience working with an ERP system
- Experience with auto mechanics or electrical installations is desirable
- Experience working in an (I)NGO or UN organization
- Full professional proficiency in English, Ukrainian and Russian
We offer
Contract length: until the March 2023, based on satisfactory probation period of 3 months, with possibility of further extension based on available funding.
Level: G-managerial
Duty station: Severodonetsk (Luhansk region).
Start date: March 2022.
