Role and responsibilities

The purpose of a Logistics Assistant, Ternopil is to provide the day to day implementation of the logistic function’s responsibility and act as NRC’s point of contact for calls, monitoring routes, directing cargo in transit, etc. Contributes to the planning and delivery of logistical activities in line with procurement and deployment schedules.

Generic responsibilities:

  • Ensure adherence to NRC policies, handbooks, guidelines, SOP’s and donor requirements
  • Implement delegated logistic functions portfolio according to Plan of Action
  • Conduct and follow up daily operational logistic activities
  • Support the administration of resources so that deliverables are achieved within set budgets, timelines and standards
  • Prepare and develop logistic reports as required by Country/Area office
  • Support in development of SOPs as requested
  • Ensure proper filing of all support documents
  • Promote and share ideas for improvement of the logistic function
  • Perform other duties, as assigned by Line Manager

Specific responsibilities

  • Prepare and develop status reports as required by management..
  • Answer emegency and non-emergency calls and document important info.
  • Respond to any issues with truck’s cargo, light fleet vehicles and follow-up by coordinating with LM or team/drivers in the field including representatives of 3rd party logistics.
  • Respond to queries related to goods/equipment in transit and deliveries
  • Use phone, radio, computer to guide drivers, teams in the field to destination points.
  • Prioritize and schedule inbound/outbound deliveries, CCs team field visits on daily and weekly basis.
  • Supervise the route and status of drivers/cargo in the field/transit to prioritize their daily schedule including 3rd party logistics when requested by LM.
  • Maintain and update route table records, call logs and other important documentation.
  • Report all potential fraud cases to the Line Manager.

Competencies

1. Professional competencies

Generic professional competencies:

  • Experience from working as a Dispatcher/LOGs Assistant in a humanitarian/recovery context
  • Previous experience from working in complex and volatile contexts
  • Documented results related to the position’s responsibilities
  • Basic knowledge or communication in English, both written and verbal.
  • Proficient in Office software (Word, Excel).

Context/ Specific skills, knowledge and experience:

  • Basic knowledge of the context in the areas NRC operates.
  • Working knowledge of both Ukrainian and Russian languages, written and verbal
  • Ability to work independently
  • Basic knowledge of English
  • Confident user of Office software (Word, Excel).

  • Handling insecure environments

  • Type of contract: national employment contract till the end of 2022
  • Salary/benefits: According to NRC salary scale, terms and conditions.
  • Duty station: Ternopil, Ukraine.
