Position Title: Medical Stock Assistant

Duty Station: Uzhgorod

Classification: General Service Staff, UG (1400 USD per month)

Type of Appointment: Special Short-Term, Six months with possibility of extension

Estimated Start Date: As soon as possible

 Context:

Under the overall supervision of the Chief of Mission (CoM) in Ukraine and direct supervision of the National Programme Officer (Medical Supply Chain (MSC) the successful candidate will be responsible and accountable for daily management of medical warehouse at designated duty station in Ukraine. The successful candidate will provide oversight at the warehouse to the International Organization for Migration’s (IOM) pharmaceutical supplies including consumables and other medical equipment and maintaining coordination / collaborate with other IOM sectors including general procurement unit.

Core Functions / Responsibilities:

  1. Make all medical warehousing transactions timely in line to IOM internal guidelines and in close coordination with National Programme Officer (MSC).
  2. Coordinate with National Programme Officer (MSC) for receiving, storing, packing, kitting, labelling and dispatch of medical supplies from/to the warehouse.
  3. Liaise with other warehousing assistants in outbound locations to make sure all movement of medical items are timely recorded.
  4. Coordinate with labour (including cleaning) for making requests on their presence during warehouse stock movement and make sure daily timesheet are updated.
  5. Ensure compliance with the Good Distribution Practise (GDP) and sanitary and hygienic regime at the workplace, including but not limited to:
  • Plan and organize efficient and safe storing of goods at the warehouse, according to available space and requirements of storage conditions for medicines and medical products in accordance with their physical and chemical properties and current storage rules including maintain proper temperature and humidity for medicine warehouse/store
  • Conduct visual inspection for quality control of medicinal products at the stages of reception, storage and dispatch.
  • Ensuring Quality Assurance in medicinal and supply management
  • Take timely measures to avoid stock-out and expiry of medicines and supplies, follow FEFO principle at distribution
  • Keep records of refrigerator temperature twice daily and maintain cold chain for medicines / vaccines as appropriate
  • Support disposal of the expired / impaired medical commodities
  • Support mid and end of the year fiscal stock count.
  • Maintain hygiene and cleanliness of the warehouse / pharmacy
  • Support monthly spot check of the warehouse
  • Assist in the periodic checking on the warehouse assets: fridges, solar fridges, ceiling fans, ACs, thermometers, hygrometers and fire extinguishers to make sure it is working properly and report accordingly if any issue.
  1. Responsible for financial aspects related to warehouse and accountable for the stored goods.
  2. Maintain records of all transactions, ensuring that an efficient filing system for stock records of all documents are kept.
  3. Support the performance of inventory control and assets management, maintain the records and files on assets management, coding and tagging.
  4. Prepare daily and weekly progress report for warehousing activities.
  5. Support in preparation the items for donations for the IOM partners
  6. Participating in field missions out of duty station when/where required.
  7. Perform such other duties as may be assigned by the supervisor.

Required Qualifications and Experience

Education 

  • High school diploma or equivalent with at least four years of relevant work experience.

OR

  • Bachelor’s Degree / Diploma or equivalent (preferably in medical field: Nursing, Pharmacy with at least two years of professional work experience.

A pharmaceutical warehouse assistant should know:

- Legislation of Ukraine.

- Basics of pharmaceutical business.

- Nomenclature of medicines and medical products, rules for their storage and dispensing.

Experience

 Experience in warehousing and stock inventory management in the pharmacy;

  • Excellent level of computer literacy;
  • Good knowledge of SAP/PRISM an advantage;
  • Experience of work for international organizations is an asset.

Languages

Fluency in English and Ukrainian is required.

A prerequisite for taking up the position is legal residency in the country of the duty station and work permit, as applicable.
