International organization on child protection and health care Terre des hommes (Tdh) is seeking for Project Assistant.
Location: Mariupol, Donetsk region’
Position Type: Full-time
Deadline: as soon as possible
Duration of the project: seven months (March – September 2016), with possible extension
Core Functions / Responsibilities:
Personnel management / team management
- Coordinate and support team in negotiations and developing partnerships at a local and regional level
- Participate in any coordination work with organisations and agencies working in the field
- Represent the Project Coordinator upon his/her request at meetings
- Advise, support team members in the implementation of the projects when the Project Coordinator is absent
- Participate with the Project Coordinator in drawing up budgets for the project and ensure it is used in compliance with current standards
- Undertake field trips in order to assess implementation of activities, field works, data gathering.
- Regularly exchange information with Project Coordinator
- Participate in team meetings, organisation of the work connected with the project on the regular basis
- Assist with communication with local state authorities and local partners for project implementation
- Mobilise, motivate, support and monitor the project team and counterparts
- Assist with organising and conducting strategic planning workshops and organising evaluation and/or knowledge management work. Ensure proper documentation of monitoring and evaluation activities are held and delivered. Extract key lesson learnt
- Actively contribute to the monitoring, evaluation and review of the strategy of his/her field of intervention
Administration / logistics
- Adhere to and enforce current administrative and logistical regulations and procedures
- Assist with gathering information and keeping regular accurate archives of the project data
- Provide assistance with translation for international and local staff members, translate on meeting
- Provide support for logistical aspects of the project implementation in cooperation with Field Officers which includes: arranging for the venues of training, workshop, meetings, contacting stakeholders, photocopying, printing, preparation of materials, distribution of letters and documents
Budget
- Participate in planning and drawing up project proposals in consultation with the Project Coordinator and other team members
Information / Publications / Communication / Reporting (EN)
- Collaborate in the effort to publicise the delegation in collaboration with the Project Coordinator: Participate in and promote the development of external communication tools
- Communicate and collaborate in accordance with the communication contract
- Prepare timely and accurately partnership agreements, service agreements
- Prepare timely and high quality progress reports on project implementation according to formats
- Keep in regular contact with the Project Coordinator regarding the status of the project’s activities
- Along with the Project Coordinator, participate in writing reports according to the formats and deadlines required by the sponsors
Required Skills and Experience
- At least 3 years of relevant working experience in projects implementation or other relative field;
- International working experience is advantage;
- Knowledge and experience of work in Child Protection, child rights is advantage
- Good communication and negotiation skills;
- Positive attitude;
- Liability, readiness to meet deadlines;
- Fluency in English is required, fluency in Russian, Ukrainian.
