The Position:
The Project Support Assistant position is located in UNFPA Ukraine country office. As a country office staff member, you will provide programme, administrative and financial support to the programme and operations team in implementation of country programme.
You will report directly to the GBV Programme Manager.

Job Purpose:
The UNFPA GBV Response and Prevention Programme interventions cover all regions of Ukraine and focuses on the delivery of the following outcomes:
• Increased perception of the unacceptability of gender-based violence in Ukrainian society.
• Improved equitable access of GBV survivors and people at risk to survivor-centred services.
• Establishment of mechanisms of accountability to beneficiaries at the national and local levels.
Project Support Assistant supports GBV programme strands that contribute to the achievement of the Outcome 2 with the aim of improving access of GBV survivors and people at risk of GBV to essential GBV services.
Project Support Assistant works in a client, quality and results-oriented manner in close collaboration with GBV Programme Team members, all units of the UNFPA Country Office (CO), UNFPA implementing partners (IPs), as well as personnel of other UN agencies to exchange information and ensure administrative support for smooth implementation of GBV Programme streams and interventions.
Jointly with Programme Manager, Project Support Assistant plays a vital role in ensuring smooth planning, coordination, and monitoring of administrative needs of GBV team members, provide assistance in travel, missions preparation, asset management and officer overall equipment. S/he is responsible for contributing to the achievement of programme’s objectives, ensuring that all activities are carried out in line with UNFPA rules and procedures as well as donors’ requirements. The Project Support Assistant supports Programme Manager and GBV team by providing quality administrative support and information.
You would be responsible for:
Providing significant input into arranging programme activities, including supporting programme officers in preparation of budget, arranging venues, materials, helping in preparation of the presentations.
Assisting with programme related procurement of services/goods and ensures that procurement is in accordance with UNFPA Procurement Procedures: collecting supporting documents; obtaining price quotations and preparing comparative tables; making logistical arrangements for the delivery, including customs clearance and distribution; obtaining Receipt and Inspection Reports and acceptance reports from national counterparts.
Arranging programme meetings, including organizing the venue, preparing draft minutes of programme meetings, communicating draft minutes to the participants and receiving feedback. Ensuring quality and completeness of filing of programme documents.
Handle travel arrangements for GBV team, including arrangement of visa, accommodation and transportation
Facilitate Individual Consultants recruitment process, collect the documentation required for the hiring and contract extension, induction of consultants into the programme and issuance of payments for the accepted deliverables, including work on vendor form registration etc
Collect and record information on programme team needs, convey this information to GBV Programme Manager and lead positive changes to the office, including overall hospitality for office visitors
Assisting in the archiving, filing, and maintenance of up to date electronic mailing lists on programme and technical matters.\
Undertaking all logistical, administrative and financial arrangements required for the successful planning and delivery of technical workshops, inter-agency meetings, panel discussions, roundtables, missions, and other events organized by the output managers in close collaboration with the operations team. This may include liaising with event management companies and caterers supporting the procurement process for these and related services.
Providing logistical support to programme events by gathering and compiling data and information for the preparation of events documents, speeches and position papers. This includes (but is not necessarily limited to) preparing and distributing COA authorization letters; collecting and following up on nominations and registration; preparing list of participants; managing programme related travel and visa requirements, circulating events materials.
Translating and drafting letters and other programme documents as well as provides oral translation as may be assigned by country office management;
Perform other related tasks as may be required or assigned by the supervisor or GBV Programme Manager
Qualifications and Experience:
Education:
Bachelor Degree in Public Policy, Political Science, International Relations, Law, Gender Studies, Social Sciences, Project Management, Finance, Linguistic or related areas
Knowledge and Experience:
Minimum 3 years of professional experience in administration, social protection work, linguistic, project management, finance, humanitarian response or related area;
Excellent self-organisation and proactive attitude to work;
Experience with an international organisation or multilateral technical assistance project will be an advantage;
Demonstrated interest in and/or experience in the areas of capacity development, social development and gender-based violence will be an advantage;
Experience of effectively working with stakeholders from the governmental and non-governmental institutions involved in social development work at the national and sub-national levels;
Good research and analytical skills, ability to multitask and prioritise workload;
Proficiency in MS Office package, Google applications and teleconferencing tools;
Familiarity with UN procedures, policies and frameworks will be a benefit
Languages:
Fluency in English and Ukrainian is required
