Position Summary

Momentum Wheels for Humanity seeks a Logistics and Procurement Assistant in Lviv to support logistics and procurement operations for MWH’s portfolio of projects in Ukraine, inclusive of emergency response programs designed to strengthen capacity for the provision of rehabilitation services relevant to the current war. The Logistics and Procurement Assistant will support the implementation of the projects by aiding in procurement and logistics tasks within the country’s scope to meet organizational and project needs. Planned activities in the current emergency setting include support procurement of necessary items, contract management, cooperation with vendors, support with delivery, and in-country travel organization. Only candidates with work authorization in Ukraine will be considered; relocation benefits will not be provided.

Expected Duties and Responsibilities  

Reporting to the MWH Ukraine Operation and Procurement Coordinator, the Ukraine Logistics and Procurement Assistant will have the following responsibilities: 

  • Provide project and logistical support for all in-country training, workshops, and events, including stakeholders’ coordination, organization and participation in the relevant meetings, preparation documentation needed, venue identification, and coordination with any vendors required to provide event support 
  • Source and procure needed office and project supplies in line with USAID rules and regulations and MWH policies and procedures
  • Properly maintain and file all purchase requisitions, quotations, purchase orders, and other relevant logistics documents associated with MWH activities
  • Manage office rent, utility, and other vendor contracts under the direction of the Ukraine Operation and Procurement Coordinator,
  • Ensure that the country office has adequate stock of all required office supplies, place orders in line with the approved budget 
  • Provide support to the country office to identify and respond to project and logistics needs, including facility and information communication and technology needs 
  • Support travel arrangements for in-country and international travel of staff and consultants, including airfare, ground transportation, and accommodations as needed
  • Elaborate electronic and paper filing systems ensuring all relevant project documentation is available
  • Other project and logistics-related tasks as needed  

Minimum Qualifications

  • Bachelor’s degree in a relevant field, including office administration, logistics management, or related field
  • At least two years of relevant work experience, preferably within the Ukrainian health or logistics, procurement, and warehouse management sector
  • At least two years of working experience in logistics, supply chain management
  • Professional experience working with an international humanitarian and/or development organization
  • Familiarity with USAID and/or other donor regulations for procurement, stocking, and donation of goods and supplies 
  • Familiarity with Ukrainian regulations and requirements related to the donation, stocking of goods and supplies
  • Detail-oriented with good organization and prioritization skills
  • Demonstrate analytical and administrative skills, as well as resourcefulness and initiative 
  • Excellent computer skills with proficiency in Microsoft Office and Outlook, and knowledge management platforms such as DropBox or Box 
  • Written and spoken fluency in Ukrainian
  • Excellent written and spoken fluency in English 

Preferred Qualifications

  • Procurement and logistics experience in the rehabilitation and assistive technology sector 
  • Experience managing procurement and logistics in emergency settings, including staff supervision 
  • Experience with warehouse management and international cross-border procurement in Ukraine
  • Fluency in Russian, Polish, or other relevant languages
