POSITION SUMMARY

Freedom House seeks a Project Assistant to provide essential support to the Freedom House office and staff in Kyiv, Ukraine. The Project Assistant will provide programmatic and administrative assistance necessary for the day-to-day coordination and administration of a portfolio of activities focused on human rights, freedom of expression, and support to civil society. Duties will include, but not be limited to finance administration and reporting, logistical coordination, basic research and data analysis, basic communications, translation, and programmatic assistance to the assigned portfolio. The project assistant’s duties will be largely administrative and logistical, involving close collaboration with Program Officers, Program Director, and DC-based staff. The role has the possibility of taking on more substantive and thematic responsibilities based on demonstrated capacity and interest. Candidates interested in human rights and gaining management experience in an international human rights organization are encouraged to apply.

The Project Assistant is a full-time position based in Kyiv, Ukraine and will report to Ukraine Program Director. Freedom House will not sponsor residency or work permits for this position, therefore only applicants with the legal right to live and work in Ukraine will be considered. Freedom House will not sponsor relocation to Ukraine and strongly encourages eligible candidates who are currently located inside the country to apply.

PRINCIPAL DUTIES & RESPONSIBILITIES

Financial administration

  • Track and update program expenditures on a daily basis
  • Prepare expense reports for program expenditure in compliance with Freedom House, donor, and Ukrainian regulatory requirements
  • Prepare payment requests in full compliance with Freedom House and statutory regulations
  • Conduct expense analysis and forecasting and contribute to the drafting of project and activity budgets, as needed

Project implementation

  • Assist the Kyiv office and Poland-based staff in the implementation of project activities to ensure successful achievement of project objectives
  • Document activity progress and results in accordance with project reporting requirements
  • Contribute to the preparation of project reports, proposals, press-releases, news updates, and internal briefings

Office administration

  • Coordinate logistics for meetings, public events, and travel, including procurement with vendors for meeting space, invitation lists, catering, and travel
  • Assist in the ordering, receiving, stocking and distribution of office supplies
  • Assist with photocopying, scanning, faxing, filing, collating and distributing documents

Communications

  • Maintain, promote, and post content in Ukrainian and English on Freedom House Ukraine’s social media platforms, including Facebook, and other relevant resources
  • Other related duties as assigned.

QUALIFICATIONS:

Education:

  • Bachelor’s degree or equivalent required (preferred fields: Human Rights, International Relations, Law, Journalism, Public Communications, Nonprofit Management, or similar)

Experience:

  • At least one year of related experience in an NGO, media management, or communications

Technical Skills and Abilities:

  • Strong ability to communicate effectively in English, both verbally and in writing.
  • Professional fluency in Ukrainian, both verbally and in writing.
  • Strong knowledge of human rights principles and mechanisms and understanding of democracy promotion.
  • Knowledge of basic accounting principles and grant-related compliance requirements.
  • Intermediary to advanced skills in MS Office Suite applications, particularly Word, Excel, and PowerPoint. Other relevant software skills a plus.
  • Familiarity with secure communication protocols and tools.
  • Ability to coordinate travel logistics, meetings, and the use of conference facilities.
