Background 

The USAID Harvest Activity enables supported male and female grain and oilseed farmers, including marginalized and underserved groups, to return production and income for target commodities to at least pre-war levels while improving production efficiency and profitability and position farmers to market their crops more successfully and profitably in the wartime context.

Position Description 

The Program Administrative Assistant will provide day-to-day logistical and administrative support for the implementation of objective activities. S/he will work closely with the Event and Logistic Team to support organizing meetings, workshops, and events. S/he will record meeting minutes during these events and team meetings, in support of assigned objective team members. S/he will also provide support to prepare programmatic reports and documentation. S/he will serve as the liaison in the objective teams for event/logistics support, travel, communications and reporting, and other administrative tasks in support of the objective. 

Responsibilities 

The responsibilities include, but are not limited to, the following: 

  • Under the instruction of the objective Team Lead, prepare requests and submit to the events and travel team and/or admin team for logistics support for planned trips for the objective team. This also includes detailed logistics support for the travel and attendance of Ukrainian agricultural stakeholders participating in project events. 
  • Manage a calendar of events for the objective team that aligns with the approved work plan and related activities, in consultation with objective team members. 
  • Prepare post-event reports and analysis to measure the effectiveness of each event and identify opportunities for continuous improvement. 
  • Provide administrative support to the objective team to ensure the timely implementation of objective activities and to serve as a liaison to the travel and logistics and operations teams. 
  • Maintain an understanding of USAID and Harvest policies and procedures related to compliance, grants, procurement, and oversight.  
  • Draft meeting minutes.  
  • Ensure completeness of project files on SharePoint and in AirTable, including up-to-date project files, records, and correspondence. 
  • Assist objective team members with inserting technical programmatic updates into AirTable. 
  • Assist in preparing weekly communication briefs, as well as quarterly, annual, and other relevant reports for objective activities.  
  • Support the collection of MEL data and reporting in coordination with MEL and communications teams. 
  • Support the review of grants and procurements. 
  • Perform other duties as assigned by the supervising Objective Team Lead or designee. 

Qualifications 

  • At least bachelor’s degree in business administration, agribusiness, or related fields, or equivalent work experience. 
  • Experience in event planning and administrative support with evidence of effective events and activities management to support the success of the projects. 
  • Good understanding and knowledge of agricultural value chains, including farmers’ associations, extension services, and intermediaries which promote agricultural products is a plus. 
  • Experience with Microsoft Excel, Word, and PowerPoint required, and experience with CRM system, such as AirTable is a plus.  
  • Excellent English writing and communication skills 
  • Prior experience working with donor organizations is a plus. 

Job Location

This position is based in Kyiv, Ukraine.

Salary   

Negotiable based on experience and qualifications
