Pact, Inc. seeks candidates to fill the position of Receptionist (Administrative Assistant) for the USAID/Enhance Non-Governmental Actors and Grassroots Engagement (ENGAGE) activity in Ukraine.

About the ENGAGE activity:

Pact seeks candidates to fill the position of Receptionist (Administrative Assistant) for the USAID/Enhance Non-Governmental Actors and Grassroots Engagement (ENGAGE) activity in Ukraine. ENGAGE aims to increase citizen awareness of and engagement in civic actions at the national, regional, and local level. By strengthening civil society’s responsiveness to diverse constituencies, the USAID/ENGAGE activity aims to empower citizens to advocate for reform, demand effective implementation, and hold government accountable in the path toward a peaceful and prosperous European Ukraine.

Position Summary:

The Receptionist (Administrative Assistant) is responsible for organizing and coordinating all office-related issues and facilities management, administrative support of Pact staff, including assistance in office procurement and events organization process.

Specific Duties and Responsibilities:

  • Receive and screen all incoming telephone calls and correspondence, transfer it to addressee, greet visitors, maintain office meetings calendar;
  • Ensure the professional appearance of the office space including kitchen, reception and chilling area, common supply and conference rooms, and work stations;
  • Responsible for office supplies (including ordering and storing), office furniture and equipment;
  • Respond to maintenance requests by initiating and coordinating service calls and/or reporting problems to office owner; oversee shipment to Pact’s contractors;
  • Maintain lease agreements and monthly rentals;
  • Provide administrative support for Chief of Party and Deputy Chief of Party (making appointments, maintaining diary, etc.);
  • Assist Pact’s personnel with business travel arrangements, visas and accommodations;
  • Support Program Officer for Marketing and Events in events organization – prepare participant and/or guest lists, arrange logistics, handle other related tasks;
  • In cooperation with the HR and Procurement Coordinator, develop and maintain vendors, consultants’ database and ensure that this information is available to all staff;
  • Complete payment voucher forms and other administrative forms required under Pact policies;
  • Maintain documentation on inventory tracking;
  • Respond to information requests from colleagues and the field in a timely manner;
  • Performs other duties as assigned by supervisor.

Desirable Characteristics:

The successful candidate will possess a strong combination of most or all of the following characteristics:

  • Bachelor’s Degree in related field;
  • High attention to details, accuracy and multi-tasking skills;
  • Proactive, fast-thinker, and able to work with minimal supervision;
  • Fluency in English, Ukrainian and Russian;
  • Self-motivated and highly-committed;
  • At least 2 years of professional experience in office management and/or admin support;
  • Strong understanding of budgets;
  • Excellent teamwork and interpersonal skills;

Preference for:

  • Demonstrated work history of providing office management services in a rapid paced and dynamic organization;
  • Experience working at similar position in international technical assistance programs supported by USAID or European donors;
